The role of the Executive Assistant is to provide high-level administrative support to our CEO and Chairman, as well as, serve as our Office Administrator and manage a variety of office responsibilities for the company. The candidate will serve as a key point of contact for internal and external interactions with executive leadership and coordinate activities.

  • Act as the point of contact for CEO & Chairman, serving as gatekeeper and coordinating all requests and activity
  • Prepares/reviews executive briefings, reports and presentations
  • Handles calendars, set-ups meetings/calls and makes travel arrangements
  • Prepares materials for Board meetings and acts as liaison to Board as needed
  • Greets and escorts visitors and provides support as needed
  • Prepares for exec meetings including ordering lunch, booking conference rooms, and setting up video conferencing
  • Handle incoming calls, inquires and information to determine significance and plan their distribution
  • Research diverse business matters, analyze information and prepare reports, memos, letters and other documents
  • Manage contract and price negotiations with office vendors and service providers
  • Serve as the point person for office manager duties: Maintenance, Mailing, Supplies, Equipment, Billing, Purchasing
  • Manage office G&A budget, tracking costs and ensure proper payment
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Partner with HR to maintain/update office policies and collaborate with other departments on activities/initiatives

Qualifications

  • HS Diploma; Associates degree preferred
  • At least five years of administrative experience supporting senior Executives
  • Experience handling Office Manager responsibilities
  • Excellent communication, organizational and administrative skills
  • Strong Proficiency using office software such as MS Office
  • Ability to handle multiple tasks or projects with varied timelines
  • Flexible and adaptable to frequently changing assignments/workload
  • Demonstrated business acumen and high degree of integrity
  • Proactive with strong attention to detail and positive demeanor
  • Ability to work independently and handle confidential, sensitive information
